West Welcomes Apollo Group Employees!

Western International University (West) welcomes employees of Apollo Group and its affiliate companies, their spouses, and dependents! This page provides the detailed steps to complete for your enrollment.
 

Once you have submitted all of the required forms, please allow 3-4 weeks prior to your anticipated start date to complete the admissions process and schedule you for your first course.
 

Please Note: Registration for all courses closes on the 25th day of the month prior to the start month. Please submit your completed forms as early as possible to allow sufficient time for processing and registration.
 

  1. Request Your Individual Record Number (IRN) – The student should email the This e-mail address is being protected from spambots. You need JavaScript enabled to view it   to obtain an IRN, which is necessary to complete the online application for admission as well as the Apollo Tuition Waiver Request application on MyHR.

    When emailing your request for IRN, please provide student's name, complete mailing address, phone, email address, and the chosen degree program.

    You can also call our main number, 602-943-2311 or toll free, 866-948-4636 and ask to speak with the Apollo Employee Education Services Advisor.
     
  2. Apollo Group Tutorial – The Apollo employee must log in to MyHR to enroll in and complete the Apollo Group Education Tuition Program Tutorial and Assessment.
     
  3. Tuition Waiver Request – After you successfully complete the Education Tuition Program Assessment, log in to MyHR and complete the Tuition Waiver Request application. Make sure to select Western International University in the Apollo Institution field of the Tuition Waiver Application and enter your selected degree program.

    Once you submit your Tuition Waiver Application, it will be routed through the MyHR system to your manager and to HR for approval. You can check the status of your Tuition Waiver by logging in to MyHR and following this navigation path:
    Self Service, Benefits, Tuition Waiver, Tuition Waiver Status.

    Should you have any questions or receive an error message from the MyHR system during your Tuition Waiver application process, please log in to MyHR and enter a case for the HR Service Center.

    Please note that the Tuition Waiver applies to tuition only and that you will be responsible for payment of course materials and all other fees.
     
  4. Click here to begin your student application for admission. When completing your West online application:

    Complete all required bolded fields.

    Select Anastasia Jones as your Enrollment Counselor.

    Select the Third Party Billing Plan on the Student Financial Agreement within the application.

    Indicate that this is an Apollo employee application.

    Make a note of the secret word that you will be asked to enter, as this will be used to initialize your my.west.edu student website account.

    After completing your application, the system will send you a welcome email with additional information and instructions.
     
  5. Apollo Employee Admissions Packet – Click here to print your Apollo Employee Admissions Packet. This packet must be completed and faxed within 3 days of submitting your application.

    Transcript Request Form - You must complete a Transcript Request Form for each school/university you have attended. If you have fewer than 17 college credits, also complete a Transcript Request Form for your high school or GED program.

    Apollo Employee Memorandum of Understanding - Must be signed by the Apollo employee and by the student, if the student is the spouse/dependent of an employee. Be sure to initial next to each lettered item and sign and date the form.

    Fax Cover Sheet - Complete the fax cover sheet.

    Fax all forms to the number listed below.
     
  6. Application Fee – If you have not previously attended an Apollo Group institution, you will need to pay your $25 application fee within 24–48 hours of completing your online application, so that you can be cleared to register for classes. You can call the Finance Office at 602-943-2311 to pay the fee. To expedite course registration, please fax or email a copy of your payment receipt to the Apollo Employee Education Services Advisor; please see below for contact information.
     
  7. Spouses/dependents of Apollo employees must pay their portion of the tuition through the West Finance Office prior to the start of each course.
     
  8. eMaterials fees are required for each course and are not covered by your tuition waiver. These must also be paid through the West Finance Office prior to the start of each class. Should you choose to opt out of eMaterials and purchase a traditional textbook, you must opt out of your course eMaterials on my.west.edu prior to the 25th of the month before each class starts in order to waive the eMaterials fee.
     
  9. Once all of your completed forms are received and your application has been processed, you will receive a registration confirmation for your courses and an email with instructions to access your my.west.edu student website login and password.

    Please remember that this process can take 3–4 weeks. Your official transcripts will be ordered and evaluated, and once you are officially admitted, your Academic Counselor will contact you to discuss your transfer credits and plan your degree program.
     

Please note:

  • The first three courses you will take are determined by your selected degree program and will be scheduled for you by the Apollo Employee Education Services Advisor. If you are entering a bachelor program and do not have an associate degree, your first class will be SSC 105, Student Success Course.
     
  • You may take just one course at a time until you are officially admitted to the University.
     
  • You will be notified of any course or time changes from the published course schedule.
     
  • New courses begin the first week of each month and meet weekly for 8 weeks.
     
  • Courses may be taken either online or on campus. If you select an online course, you have the option of attending your live weekly online class session or viewing the recording of your class. On-campus courses meet strictly on campus but will still require that work be submitted online through your my.west.edu student website.
